RESPONSIBILITIES OF THE DEPARTMENT
- Ensures the legal examination of draft orders, instructions, procedures, standards and other legal acts prepared at the enterprise, approves them, and also participates in the preparation of these documents, if necessary;
- Organizes systematic accounting, storage, ensures the codification of legislative and regulatory acts received by the organization, as well as acts issued by the head, provides users with access to them based on the use of modern technologies, computing equipment, communications and communications;
- Ensures timely processing of incoming and outgoing correspondence, its proper delivery;
- Carries out methodical management of the organization of office work in divisions, control over the correct compilation, safety and timely transfer of files to the archive, preparation of certificates on compliance with deadlines for the execution of documents;
- Organizes work on registration, accounting, storage and submission to the relevant structural divisions of the management, orders and orders for the preparation and deposit of current procedural documents, including cases;
- Participates in determining the costs of preparing tender documents, submitting applications for finding information about potential suppliers, organizes and conducts a public procurement competition;
- Organizes timely registration of the admission, transfer and dismissal of employees in accordance with labor legislation, acts of the head of the organization, record keeping of personnel, issuance of certificates on current and past work activities of employees, storage and filling of workbooks and maintenance of established personnel documentation, as well as preparation of materials for staff submission for promotion and awarding;
- Organizes time-keeping, preparation and execution of vacation schedules, monitoring of the state of labor discipline in the company’s divisions and employees’ compliance with internal labor regulations, analysis of staff turnover, develops and monitors the implementation of measures to strengthen labor discipline, reduce staff turnover, and work time costs;
- Prepares and transfers to the archive of the organization the documentary materials completed by office work, the registration file or the computer database and prepares the list of cases transferred to the archive for storage;
- Carries out the work agreed with the contract in the organization: determines the forms of contractual relations, develops draft agreements, checks for compliance with legislation draft agreements submitted by the organization’s counterparties, takes measures to resolve disagreements on draft agreements, ensures notarization and (or) state registration of certain types of contracts;
- Examines copies of statements of claim for the requirements imposed on the organization, ensures that a database of claims is maintained;
- Represents the interests of the organization in court;
- Prepares applications, applications and other documents for obtaining licenses and permits necessary for the organization’s activities;
- Represents the organization in the state supervision bodies authorized to consider cases of administrative offenses detected in the organization, prepares and sends complaints about the actions of officials of the state supervision bodies, unlawfully imposed administrative penalties on the organization;
- Carries out registration, management, storage, accounting, production of insurance copies of the main accounting documentation of the museum, museum-reserve;
- Ensures registration of newly received museum objects and museum collections;
- Carries out registration of acts of acceptance and commissioning for permanent and temporary use, internal acts and books of registration of acts;
- Controls the deadlines for registration in inventory books, special inventory books, and archival inventory (on the right of the inventory book) for the storage funds of museum objects;
- Maintains the relevant sections of the electronic database of the museum, museum-reserve;
- Participates in the verification of museum objects.
